Important Dates Event Dates: 28th to 30th July 2017 Set up Times: Thursday 27th July between 10:00hrs and 20:00hrs Early Bird Car Club Display Packages: Available until 31st March 2017 Advance Car Club Display Packages: Available 1st April to 31st May 2017 CAR CLUB TICKET SALES FINISH: 31st May 2017 General Admission tickets: Available until 5pm 27th July 2017 Club biog for event programme: by Friday 2nd June 2017 We close car club bookings in advance of the event so that we may better plan for the day and ensure we are able to provide a high level of service to all car clubs, issuing the coordinators and their members with more detailed information prior to their arrival on site. This will include club infield display area location and entrance route to venue. Club Display Area Clubs will be advised of their designated display area prior to the event, in order that their coordinator can make suitable plans for the layout and inform members accordingly. The size of every car club display area is determined by the number of cars booked into the event using that car club’s booking code. We encourage clubs to make a spectacle of the occasion and want to work with you in ensuring your club display best represents and promotes your club. It is important to note the club display areas, which have probably become the biggest and most varied display of privately owned classic cars in the world, are of great interest to the many paying members of public attending the event. To this end, we ask that you take time to plan your display prior to the event based upon the information sent to you by the organisers, and place the best and more classic examples of your marque or model in the more prominent areas of your stand. We appreciate that many of the club coordinators already do this and in recognition of the coordinators’ planning efforts, there will be a special Scarf & Goggles Award given for the best car club display at the 2017 Silverstone Classic event. As the event continues to grow, we do want to ensure your club is allocated sufficient space to accommodate your club members’ classic cars. We therefore require you to submit a written request via email to carclubs@silverstoneclassic.com if you wish to erect any structure, display unit or display anything (including vehicles) other than vehicles that have been issued with an infield vehicle display pass as part of a Car Club Display Package purchased by your members. Please provide appropriate photographs and measurements of any structures or displays when submitting your request. Please see the guidelines below for a general rule as to what is acceptable in your club display area: Acceptable  Plain or club-branded marquees and gazebos of a reasonable size  Club banners & signage  Relevant vehicle displays  Selling club merchandise to members  Providing members with free food and refreshment (see Catering below) Not Acceptable  Caravans and motorhomes (see Camping below)  Vans and trailers (see Setup and Restocking Vehicle passes below)  Selling of hospitality, or any food and beverages (see Catering below)  Sleeping in tents or vehicles (see Camping below)  Manufacturer or any third party sponsorship branding unless agreed with the event organiser (see Commercial Endorsement & Activity below). Please also note that any legitimate club branding must be within the confines of the club stand. Trade stands or selling of non-club merchandise items unless agreed with the event organiser (see Commercial Endorsement & Activity below) Following a written request, permission for vehicles or structures will be issued at the discretion of the Silverstone Classic organisers. If vehicles or structures are erected on a club display area without permission then the Silverstone Classic reserve the right to remove the items from the display area. Clubs may be allocated complimentary tickets for use by the club's coordinators to facilitate the club's display. The quantity will be based on the number of Club Display Packages booked using the club's dedicated booking code, and will be at the discretion of the Silverstone Classic organisers. A minimum number of 10 Club Display Packages booked using your club code are required to qualify for complimentary tickets. A member of the Silverstone Classic Event Team will deliver club specific signage to the club coordinator on Thursday 27th July, designed to help your members find their club stand upon entry. This signage must be returned to a member of the Silverstone Classic Event Team at 6pm on Sunday 30th July, otherwise the club may be charged for the cost of replacement of the signage. Please note that infield display space cannot be guaranteed and is subject to weather and ground conditions. Club Display areas are therefore subject to change and, in extenuating circumstances, may result in members’ cars parking in public car parks. Commercial Endorsement & Activity If your club wishes to undertake any commercial activity at the Silverstone Classic with Partners or Manufacturers, please contact our Commercial Team to discuss and/or gain approval. Activity outside of that which is listed above is possible at the Silverstone Classic at competitive rates and when authorised. A number of Commercial Opportunities can be made available, and we would be delighted to try and help you add to your displays and engage with third parties. Any activity which is not approved by the Commercial Team and is of a commercial nature will be removed in the interests of our Official Partners who help us to put on this fantastic event. Head of Commercial: Caroline Hobbs (44) 01483 524 447 (44) 07717 722527 Caroline.hobbs@silverstoneclassic.com Catering If you are planning on supplying any food & refreshment to your club members please inform us via email at carclubs@silverstoneclassic.com and be aware of food hygiene regulations. Generally speaking, providing teas, coffees, cakes and biscuits is fine but if you plan to do anything beyond this we need to advise you of the venue hire agreement restrictions that prohibit the use of outside caterers. Should you wish to supply a hot food option to your club members during the event, then the Organisers can put you in contact with the on-site caterers. Please note, any food and refreshment supplied by clubs within their display areas is strictly for club members and their families only and, under no circumstances, is to be offered for sale (whether that be on-site or pre-event). Clubhouse Hospitality Clubhouse hospitality, located in the Brooklands Executive Suite close to the National Paddock and overlooking the Wellington Straight, Luffield and Brooklands corners, is especially aimed at club members and those that like to base themselves in the northern infield, the real heart of the event. Clubhouse hospitality is very competitively priced at £99 per head plus VAT and includes:  Bacon rolls (with vegetarian alternative)  2 course buffet lunch  Afternoon Tea  Tea & Coffee  Water & Juice  Pay Bar  Official Souvenir Programme  Trackside Viewing  TV screens with live feed  Daily newspapers Should you have a group booking of ten or more, and would like your table to be personalised to your Club, please contact us to discuss your requirements. Options include naming tables in consideration of your club, dressing tables with Club Literature and giveaways etc. For more information visit http://www.silverstoneclassic.com/clubhouse. 10% discount is available to club coordinators when making a group booking of 10 or more directly with us via carclubs@silverstoneclassic.com or 01483 524424. Camping Camping is available at Silverstone Woodlands campsite, within walking distance of Gate 15, just south of Club Corner. Mains showers and toilets are provided in purpose built buildings, and other on-site facilities include a general store and the “Petrol Head” pub. Electrical hook up is also available to purchase. Camping tickets can be purchased at the same time as Event Tickets. Sleeping or camping inside the circuit venue is not permitted. For more information visit http://www.silverstoneclassic.com/camping. Infield Vehicle Display Passes Infield vehicle display passes, issued as part of a car club display package, are for display vehicles only and are only valid for parking within the designated club display area. Any vehicle parked outside their display area is liable to be removed. Given the large public spectator levels at the Silverstone Classic, display vehicle movements on the infield are restricted to outside of 10:00 to 17:00 hrs. Therefore, to ensure that your members gain access to your club stand, we request that they arrive before 10:00 hrs and do not leave before 17:00 hrs. The only exception to this ruling is for vehicles entered into any track parade; these vehicles will receive written instructions from the event organisers regarding signing on, track assembly area, timings, etc. via their club prior to the event. Please note there will be some holding time prior to a parade when participating vehicles may need to be in parade assembly areas, which aren’t within their usual club display area, and possibly some holding time after a track parade whilst we return vehicles to their respective display areas. The exact timings of these will depend on the size of the parade. When booking, car club members will be asked for the make, model, year and registration number of the vehicle they intend displaying at the event. The infield vehicle display pass will display this information along with the name of the car club and so will only be valid for the vehicle that has been registered. The procedure to change these vehicle details, by the person who made the original booking, will be very simple and explained to the ticket purchaser in their booking confirmation email. This rule is in place to ensure that only the right classic cars are displayed to best represent your club. If a member does not arrive in the correct vehicle for the club, they must park in the free parking outside the circuit. All ticket and display vehicle booking information will be sent to the car club coordinator on a regular basis for cross checking. Please note that infield display space cannot be guaranteed and is subject to weather and ground conditions. Car Club Display areas are therefore subject to change and, in extenuating circumstances, may result in parking in public car parks. Setup and Restocking Vehicle Passes Setup vehicle passes will be supplied if necessary for the delivery and installation of marquees and other display area materials, and for vehicles towing display vehicles on trailers. This vehicle pass is valid on Thursday 27th July and all support and tow vehicles must be removed and parked in exhibitor parking or the public car parks by 20:00 on Thursday 27th July. Restocking vehicle passes will be supplied for those that require it for restocking their display with club merchandise or hospitality items. For Health & Safety reasons, the movement of restocking vehicles is prohibited between 07:30 and 19:00 on the Friday, Saturday and Sunday of the event. Registration details for setup and restocking vehicles must be supplied and the passes supplied by Classic Historic Racing Ltd must match the vehicle for access to be granted to the infield. Please note that the driver and any passengers must also be in possession of valid tickets or accreditation on entering or leaving the circuit. Health & Safety and Insurance If your club display includes a marquee or gazebo then it should come with appropriate ballast to ensure it is secured appropriately. If required, due to wind conditions, you may be asked to take down the structure. Depending on the structure, then a risk assessment may be required. If you are erecting any structure, display unit or display anything (including vehicles) other than vehicles that have been issued with an infield vehicle display pass as part of a Car Club Display Package, then you must submit a written request via email to carclubs@silverstoneclassic.com. Please provide appropriate photographs of any structures or displays when submitting your request. All clubs must have Public Liability Insurance to cover their display area. This is in the sole interest of the club and is designed to protect it from any unnecessary and unaffordable financial claim made against it. Should the club require any further advice regarding this matter then they should contact the event organiser via carclubs@silverstoneclassic.com. Please contact the Silverstone Classic Team if you have any questions. carclubs@silverstoneclassic.com 01483 524424 Any questions PM me and ill do my best to answer you. 1. 182Stevecup ( although I have yet to pay!)
