I have read a thread or 2 where some of you guys have helped other members with writing a letter... i am currently having sllight issues at work and have written a letter to the HR department regarding it ( youll get the jist reading the letter)

 

i was just wondering can someone be kind enough to read and advise me on wording etc as im not very good with letters, i dont want to sound sarcastic or like im having a tantrum i just want the letter to sound like im trying to get a point accross, can anyone help me ?? letter is below and im going to bed as i have just finished a shift but will be on later- ( most of you are still asleep now anyway) :D Thanks in advance. also i dont have spell checker :)

 

 

 

Dear Sir or Madam

I am writing in regards to my current position within the company. My name is Jonathan Stock i currently am a member of the agency staff (scol)and i work on the Night shift (10pm-6:00 am) in your Coventry Distribution Centre and have done so for the past 8 to 9 months.

 

When i was first employed by your company i was advised the criteria for getting a full time contract, is as follows :

 

Performance ( target pick rate being 108 an hour)

Attendance

Attitude

13 Weeks Probation period

 

As above, i have been with your company for 8-9 months, and as much as i am enjoying working for the company i am still trying to understand why i have not been offered a full time contract. I have spoken previously to the manager on duty (Jas Sandhu) just before Christmas week and he advised me verbally that i would be offered a contract very soon as long as i sorted out my attendance. My attendance cannot be sorted out any more as it is at 100%. I have never taken a single day off sick since i started working so i am unsure where he got that information or maybe he made a mistake, however i was happy to hear that i would be offered a contract soon.

 

Its now the middle of Febuary and at least 9 more contracts have been handed out to people, some of which have been with the company less time than me and also some who have had days off sick. Also four of the 9 are couples ( either wife and husband ir boyfriend/girlfriend ) and also of latvian or other european ethnicity. which i totally have nothing against. I do believe in equal opportunities but i feel and also others in a similar position to me feel that favouritism maybe taking over.

 

At work i dont talk much to management, i come in and do the job i was hired to do. It sometimes feels like the management dont know i exist, especially on the day contracts are given out, and i notice i still dont have one. I thought maybe due to the fact i dont speak much to management i had better go and speak to the manager on duty and enquire as to what im doing wrong and why i am not being offered a contract. That brings me to today's shift. I spoke to the manager on duty (Jas Sandhu) and advised him of the above and explained how long i have been with the company etc. He advised me that my team leader (Matt Smith) my assistant team leader (Kelly Ben) and himself would sit and have a chat to me about it and that i would hear my name called out on the tannoy at some point during the shift. I was very pleased to hear this and went back to work. The whole shift passed and my name was not called over the tannoy and noone spoke to me at the end of the shift to advise me what went wrong and why my little meeting with management didnt go ahead as planned. We did have a fire drill in the middle of our shift but im sure the manager on duty (Jas Sandhu) was well aware this was going to take place and if it was going to be an issue he wouldnt have arranged to meet with me.

 

As far as i am aware i meet all the criteria for a permanent contract and have done so for a long time, unless the criteria has changed in which i would have been informed but i have not. My attendance as mentioned is 100% as i have never missed a day. My performance is 108 or above, each week. I know that other people may be acheiving higher pick rate than me but as far as i was aware it is not a competition and as long as the target of 108 has been acheived that is all that matters. However my performance is consistent. My attitude towards staff and collegues is more than satisfactory, and this can be confirmed by my assitant team leader (Kelly Ben) as she is the person i have come into contact the most with out of all management staff.

 

Basically this all boils down to the following question :

 

What can i do to improve so that i will be considered for a permanent contract?

 

I appreciate how busy your department is, but i would appreciate an answer as soon as possible, so i can make the appropiate changes in the way i work.

 

Please dont take this a complaint, i am merly asking for a reason for not being hired full time?

 

As i have already mentioned, i like working for your Coventry depot and would like the chance to advance my career within this company.

That sounds fine to me buddy, I think grammatically it's spot on, it's polite but to the point without being aggressive.

 

I'd probably reword this paragraph slightly:

generally it reads well, just have a final sense check and correct the gramatical context where applicable, ( run it through a word spell and grammar check and it will be fine) . good luck with what you are trying to achieve. if you need any further help drop me a line

Generally reads well and you come across as conscientious, diligent, hardworking and polite. A model employee!

 

Just check spellings, grammer etc. before sending. Print it on decent paper and use an A4 envelope. These small "old-fashioned" things still make a difference.

I understand and appreciate that the managers role is a busy and complex one, but it sometimes feels like the management dont know i exist, especially on the day contracts are given out, and i notice i still dont have one. I thought maybe due to the fact i dont speak much to those in positions above me i had better go and speak to the manager on duty to get some constructive critism, advise and enquire as to what im doing wrong and why i am not being offered a contract.

 

That brings me to today's shift. I spoke to the manager on duty (Jas Sandhu) and advised him of the above and explained how long i have been with the company etc. He advised me that my team leader (Matt Smith) my assistant team leader (Kelly Ben) and himself would sit and have a chat to me about it and that i would hear my name called out on the tannoy at some point during the shift. I'm not too sure about the bit in blue to be honest mate? I would probebly not put this in, it does not help your cause, although you may have a valid point that there are others who may be being treated differently than yourself, but it implies that you and others have some sort of greivence with your foreign workers.

 

I might add something about the fact that there are others who you feel are being treated differently, (and perhaps give a specific example, while not mentioning any names) but i wouldn't specify the fact that it is the foreign dudes. It may be true in this case, but when someone within the management structure see that, they will start to think racist... even if you are clearly not one, and you have quantified that fact by expressing that you beleive in equal ops. It is a sensitive area, and i know that most managers will err on the side of caution.

 

Also I would avoid calling anyone above you in the chain of command "Management", it creats an "us and them" feeling, which i am sure is not what you intend to do, so i have altered a few to things like "my line manager etc"

 

Oh yeah, and you will need to make the I's capitals.

 

I hope that this helps and goes some way to sort out the work situation and you are offered a contract in th enear future.

 

Just as an aside; I would also add, that although in your own word "it's not a competition" with regards to picking numbers, ultimately your managers will be looking at the bottom line, which in this case is how much is picked in a given time.... So if i were in your position i would look to pick as many as possible while still maintaining accuracy not just pick enough to cover the 108 necessary.... Just my 2 pence worth though.

 

Like i said, just my 2 pence worth, and you may think that all my alterations are unnecessay, but I am just trying to help bud.

If it were me bud, I'd keep it very short.

 

Clearly state the facts. State what it is that you want and leave out all the stuff regarding your shift manager and so on. Something to the effect of:

 

Dear Sir / Madam,

 

I have been working for your company for 9 months now and I am still employed through an agency on a temporary basis. I enjoy my job, have met my targets and have a very good attendance record. I would very much like to know what I need to do to obtain a permanent position. I have tried making enquiries of this nature, but have so far, been unable to ascertain why I have not been considered for a permanent position. I would greatly appreciate some assistance with this matter.

i was also unsure of the foreigners line- likie i say i have nothing against them but i would like to include something along the lines of favouritism so i will try and squeeze something a little more subtle in there instead.

 

Im glas you agree that it is not a rude letter or sarcastic this means i wont have to change a lot- but when u arrive home after a shift pee'd off and decide to write a letter while listening to kate bush's wuthering heights, you lose control !!!!

 

ok im going to atteampt to correct spellings etc and make a few slight changes.

 

LEOR32GTS - as much as ur letter is straight to the point and the question i want to ask i personally want HR to know the full story as to what is going on and basically in my letter i have tried to answer my own question at the end by doing this. I would agree with leo it seems a bit long winded and I got a bit fed up reading it, I would stick to asking for confirmation on the standards required and ask were you fit in that respect.

Wouldnt mention the ethnicity of others already given contracts, just that other people have been. You can be labled racist very quickly with "misunderstandings" like that and instead of being made perm lose your job all together.

I have been in "management" for many years from shop floor through to operations.

I dont like that letter at all, you would be far better going to see your HR representative in person or if need be phone them. That letter is open to so many negative interpretations for the reader, racist, whinger, trouble causer, problems with authority. I am not suggesting you are any of these but it will be interpreted in different ways depending on the reader and their mood at that time. In person works better every time and only stick to fact not feelings.

 

Just my thoughts.

thanks again for the replys - MICK im not trying to be rude to HR or anything like that and i would phone them but when speaking to people i always forget key information as i get a tad nervous, where as the letter explains everything- there is a lot of points i have taken out ie i do not want to be accused or thought of as a racist etc so i have took the whole part out, i have weeded out all the parts that dont seem right and have saved it at that.

I think looking at the letter now it seems very professional and polite but also getting my point accross to the company.

the company hire 3 people each month so i dont think it would matter mate

:smartass:knock on who,s door you need to,and have a chat about a full time contract,they can only say yes or no

 

i tried that they always tell u what u want to heaar but i see no results, thats the reason for the letter, i have tried speaking with assistant team leaders and teamleaders they all say keep up the work your doing and you will have a contract soon- this was months ago- then when i speak to a manager he will either say ' go speak to your team leader' until yesterday when i said 'ive done that but nothing seems to change' so he advised me he would set up a mini meet where we can discuss and advise me as to why im not being considered. the stupid thing about the place is alot of people will be hitting pick rates of about 140 they will get a job and there pick rate drops below 108 where as i continue to pick on average about 110-130 a day without fail and the pick rate would not drop as its easy to acheive when plodding along getting on with the job at hand.

 

so last resort is this letter if i dont see any improvements i may have to seek employment elsewhere- which i dont want to have to do as i enjoy my job and in the current climate good jobs are hard to find . so i just have to send the letter and hope for the best i guess- at least it gets me know hopefully not for the wrong reasons .

i wouldn't right a letter, just speak to ur hr deparntment or manager in person, if theres a job avalible then there put you in for it if your right for the job. a lot of big compeney take on agency staff so they don't have to take on full time staff, prob just saying theres a job going to keep u happy an working hard, but hopefully things will go well an u'll get a job with them, good luck,

I had the same problem as you, when I started my first job, with contracts. If they aren't giving you a full time contract then you're probably too nice and/or quiet. In my experience the people who climbed the ladder fastest and got full-time contracts were the loud-mouths who smoked cannabis with their supervisors and just generally "brown-nosed." I'm sorry it sounds harsh, but you'd be better off in the private sector where things are a bit fairer. I ended up happy, working at a University and I wonder why I didn't just walk out of that first job.

 

Like Mick said: it depends on how the letter would be interpreted on that day and what mood they were in. Speaking to them directly may work, but don't go above their heads whatever you do!

sounds like u worked at the same place as me lol !! yes i am quiet however today i arranged another meeting which actually took place so i may not need to send the letter after all- i sat down for 5 mins with my team leader while he told me the criteria in which i told him that i have met it all and have done for a while and he said he has noticed and i am in the running...etc etc - i think he waas just telling me what i wanted to hear! but ill give it till month end when they hire again and i suppose if im not in it ill start searching for a new career, maybe go back to computers or something.

i agree pabs.. it did help me get my ords out properly as i had read and re read the letter over and over to make sure it was good enough, so yes it helped a little... just have to give it 4 weeks and see what happens- he advised me they are taking another 9 people in the next 3 months so ill have to stick it out....
